The Directory of Professors 2024 of the Finnish Union of University Professors
THE PURPOSE FOR THE PROCESSING OF PERSONAL DATA
The purpose for the processing of personal data is the publishing of the Directory of Professors in Finland. The processing of personal data is based on legitimate interest and the consent of the registered persons.
DATA CONTENTS OF THE REGISTER
Information provided by the registered person:
Personal information: current and former last names, first names, date of birth, municipality of birth, country of birth if not Finland, nationality (not included in the Directory).
Family information: First names as well as current and former last names of parents, parents’ degrees and/or professions, first and last name of current spouse/partner, spouse/partner’s last name at birth, year of birth, year of marriage/registered partnership, spouse/partner’s degree or profession, possible year of death, children (first name, year of birth, possible year of death).
Education and employment: matriculation exam and upper secondary school, other degrees, most recent professorship, current job, current part-time positions and tasks, relevant earlier jobs, international activities, retirement.
Scientific contributions, teaching merits, societal interaction, areas of expertise, social media platforms.
Other activities: key positions of trust, positions of trust within the Finnish Union of University Professors, military rank, titles of honour, medals of honour and recognitions, hobbies.
Professors are informed that unless they update their information, only basic information (last name, calling name, year of birth and most recent professorship) will be published in the Directory of Professors. They may also separately forbid the publication of this basic information.
Professors are separately requested to give their consent for the publication of information in the electronic version of the Directory, which can only be accessed by those who provide information and members of the Union, and in the printed version of the Directory.
REGULAR SOURCES OF DATA
The background information for the collection of data to be included in the Directory is compiled from the member register of the Finnish Union of University Professors and the previously published Directory of Professors. Contact information is also requested from the universities and collected from the websites of universities and state research institutes as well as from other public sources, such as the Finnish State Calendar. The background information is used solely for the purpose of collecting data for the Directory of Professors. Registered persons are requested to complete and correct their personal information using the data collection form.
REGULAR DISCLOSURES OF DATA
There are no regular disclosures of data to other parties. Register data can be disclosed to co-operative partners to the extent necessary for the implementation of the Directory. Data will only be disclosed as necessary for the implementation of the Directory.
Register data can be used in anonymised format for research purposes.
TRANSFER OF DATA OUTSIDE THE EU OR EEC
Register data is not disclosed to parties outside of the European Union or European economic area.
DATA STORAGE
The personal data in the Directory of Professors will be stored in electronic format for only the time necessary to fulfil its purpose.
DATA PROTECTION PRINCIPLES CONCERNING THE REGISTER
The register is handled with extreme care and any data processed with the help of data systems is properly protected. When the register data is stored on an online server, the physical and digital data security of the necessary hardware is appropriately maintained. The Controller shall ensure that stored data, access rights to servers and other information critical to the security of personal data are treated confidentially. Personal data will only be processed by those persons whose job description requires them to do so.
RIGHTS OF REGISTERED PERSONS
Registered persons have the right to access any information stored in the Directory of Professors that concerns them and to correct this information themselves or request the rectification or supplementing of incorrect or missing information. The information can be accessed using the data collection form. Registered persons have the right to request the restricted processing or removal of their personal data. If a registered person wishes to exercise their rights, they may contact the office or Data Protection Officer of the Finnish Union of University Professors. It is not possible to rectify information in the printed version of the Directory.
If the Controller has not complied with the applicable data protection regulation in its operations, the data subject has the right to lodge a complaint with the competent supervisory authority (tietosuoja@om.fi).
